Client portal

One link, from the first call to the payment.

The usual client journey looks like a chain of emails: one for the enquiry, one for the agreement to print and sign, one to confirm, one with a report attachment too heavy to send, one for the invoice. Habita replaces the chain with a single secure address.

The steps in the portal

  • Intake: the client fills in the property details and their own contact information, which saves you typing it from dictation over the phone.
  • Documents: the service agreement and the attestation, to read and sign online.
  • Report: the interactive web report and its PDF, as soon as it is delivered.
  • Invoice: the agreed price, the taxes broken out, and payment.

Each step opens at the right moment. The client sees their progress, knows what is left to do, and never has to hunt for an old email to find their report again.

The client always knows where they stand

Every step carries its state in plain words rather than a color code: complete, in progress, to do. Documents show 'to sign' or 'signed', the invoice 'to pay' or 'paid', the report 'upcoming' or 'available'.

It sounds small. In practice it removes three quarters of the follow-up calls: the client wondering whether you received their signature, the one unsure whether their payment went through, the one calling to ask when the report is coming. They open their link and they see.

A link, not an account

Your client has no password to create and no software to install. They open a single secure address, on a phone or a computer. That is deliberate: every account to create is a client who drops out.

It is also what makes the portal usable by the seventy-year-old buying a condo for their retirement. A link in an email is understood without a manual.

On your side

  • You choose what the portal exposes: documents, report, invoice.
  • The agreed price is set on the file and carries automatically into the agreement and the invoice.
  • Attachments of your choosing can be added, a technical sheet or a quote for instance.
  • You see what the client has opened and what they have signed.

FAQ

Does the client need an account?

No. They receive a single secure link that opens their file directly, on a phone or a computer. No password, no installation.

Can I send the portal before the inspection?

Yes, and that is the intended flow: the client fills in their intake and signs the agreement before your visit, which keeps the paperwork off your doorstep conversation.

What exactly does the client see?

What you decide to show them. You enable the steps one at a time: documents, report, invoice. Nothing appears before you have made it available.
